Training

When does a company need its own LMS?

Signs that employee training has outgrown spreadsheets and group chats, and what to check before choosing an LMS.

Many companies start employee training the simple way: material in a shared folder, schedules in a group chat, and attendance in a spreadsheet. That works for a small team. Problems start when the number of employees, branches, and courses keeps growing.

Signs you need an LMS

  • Onboarding eats up senior staff time. The same material is explained again and again to every new hire.
  • It is hard to know who has finished their training. Recaps are done by hand and are often late.
  • Material exists in many versions. Employees at different branches learn from different documents.
  • Mandatory training needs proof. For audits or certifications, you need clean records of who learned what, and when.
  • Results are hard to measure. There are no quizzes or scores that show what learners understood.

If two or more of these sound familiar, an LMS (learning management system) usually starts to be worth the cost.

What to check before choosing an LMS

Where the data lives

Training data includes employee names, scores, and sometimes internal documents. Make sure you know where the data is stored and who can access it.

How long it takes to write material

A good platform still needs content. Estimate how long your team needs to write modules and questions. Help with writing material, for example from AI, can cut this work down, as long as the results can still be edited and reviewed.

Reports people actually use

Look at the reports on offer: progress by learner, by class, and quiz scores. Reports that are hard to read end up never being opened.

Total cost, not just the price per user

Compare the subscription, setup fees, admin training, and extra costs as the number of learners grows. Work it out for the next one to two years, not just the first month.

Your company's brand

Learners trust a platform more when it carries their own company's name and logo. This matters most for training institutes that sell classes.

Start small

You do not need to move all your training at once. Start with the one program you repeat most often, such as onboarding new hires. Once that runs smoothly, add the next one.

Tenka LMS is built for this path: AI helps draft material and questions, learners and classes are managed in one place, and learning progress is easy to see. The platform runs on servers maintained by our team and can carry your company's brand.
